Privacy Policy
How OptiSync collects, uses and protects personal data. Last updated: 15 October 2026.
1. Who we are
This website, optisync.eu, is operated by OptiSync OÜ, a private limited company registered in Estonia under registry code 17387760, registered address Kuldnoka tn 22, 10619 Tallinn, Estonia ("OptiSync", "we", "us"). We are the controller of the personal data described in this policy. For any privacy question or request, contact hello@optisync.eu.
2. What data we collect
When you book a call through our Google Calendar appointment page, we receive your name, email address, the selected time and any note you add. When you email us, we receive your email address, name and message. Our free tools — the Cost of Chaos calculator, the RACI matrix generator and the SOP builder — run entirely in your browser: what you enter (numbers, names, roles, process steps) is not sent to or stored by us. When you click “Download PDF”, your browser loads two open-source libraries (html2canvas and jsPDF) from cdnjs, a public library network run by Cloudflare, which receives your IP address and browser information to deliver them; the PDF itself is created on your device. Only if you accept analytics cookies, Google Analytics collects usage data such as pages visited, approximate location, device and browser type, how you arrived at the site and which tool actions you used (for example, that a PDF was downloaded) — never the content you entered. Our hosting and DNS providers also process technical data such as IP address to deliver and protect the website. We do not use contact forms or file uploads, we do not sell personal data, and we do not make automated decisions about you.
3. Why we use it and our legal basis
We use booking details to arrange and hold the call you requested (steps taken at your request before a contract, GDPR Art. 6(1)(b)). We use your emails to reply to and follow up on your enquiry (our legitimate interest in responding to business enquiries, Art. 6(1)(f)). We use analytics data to understand and improve the website, only with your consent (Art. 6(1)(a)). We process technical data to operate and secure the website (legitimate interest, Art. 6(1)(f)).
4. Who we share it with
We use a small number of service providers who process data on our behalf: Webflow, Inc. (website hosting), Cloudflare, Inc. (DNS, network security and cdnjs, which delivers the PDF export libraries) and Google Ireland Ltd / Google LLC (Google Calendar for call booking, Google Workspace for email and, with your consent, Google Analytics). Some of these providers may process data outside the European Economic Area, including in the United States; such transfers rely on the EU–US Data Privacy Framework or the European Commission's Standard Contractual Clauses. We may also disclose data where required by law.
5. How long we keep it
We keep enquiry and booking data for up to 24 months after our last contact. If we start working together, we keep it for the duration of the engagement and as long as accounting law requires. Google Analytics data is kept for 14 months.
6. Cookies
We use only what is strictly necessary for the website to work, plus Google Analytics cookies (_ga, _ga_*, up to 2 years) if you accept them in our cookie banner. Analytics cookies are not set until you click "Accept". Your choice is stored in your browser's local storage (optisync_consent) for 12 months. You can change it at any time through the "Cookie settings" link in the footer.
7. Your rights
Under the GDPR you have the right to access, correct or delete your personal data, to restrict or object to its processing, to data portability, and to withdraw consent at any time without affecting earlier processing. To exercise any of these rights, email hello@optisync.eu; we reply within one month. You may also lodge a complaint with the Estonian Data Protection Inspectorate (Andmekaitse Inspektsioon, www.aki.ee) or the supervisory authority in your country of residence.
8. Changes to this policy
We may update this policy from time to time. The current version is always available on this page, with the date of the last update at the top.
